Parallel Tasks (eForms) activity

An activity that specifies a set of forms made with eForms that must be completed before the process can go forward. This activity is usually used to request approval for a task from a group of approvers that can change.

Good to Know

In most text fields, you can use process data variables as an alternative to literal data values.

How to Start

On the Organizer, do one of these:
- Open a process.
- Create a process.
Do one of these:
- Add an activity:
  1. In the Process Builder, in the Activity Library, open the Human Tasks (eForms) tab.
  2. On the Human Tasks (eForms) tab, drag the Parallel Tasks (eForms) activity onto your process.
- Change an activity:
  1. In your process, double-click your activity.

Procedure

On the Parallel Tasks Configuration screen, do one of these
- Select the form that exists.
- Create a new task form.
  1. Click Add New Form.
  2. Complete the fields on the Form Details screen.

Click General Configuration .
Complete the fields on the General Configuration screen.

Click Participants
Complete the fields on the Parallel Tasks screen.

(Optional) If you want to configure your task to show on a mobile device, click Advanced > Mobile View .

Form Details screen

Configures a new human task form.

How to Start

In the Application Explorer, in the My Applications pane, select an application, and click tShow All Files .
Expand [Application Name] > Processes > [Process Name] > Forms.
Click Task Forms.
In the right pane, click New .

Fields

Field Name	Definition
Form Name	Function: A name for your form. Accepted Values: One line of text that can have spaces. Default Value: None Accepts Process Data Variables: No
Form Description	Function: A description for your form. Accepted Values: More than one line of text. Default Value: None Accepts Process Data Variables: No
Next	Function: Selects the form layout and primary data source type.

General Configuration

Specifies the general information for an eForm and digital signature activities.

Fields

Display Name	Function: Specifies the activity name that shows in your process. Accepted Values: One line of text that can have spaces. Default Value: None Accepts Process Data Variables: No
Description	Function: Specifies an optional description for your activity. Accepted Values: More than one line of text. Default Value: None Accepts Process Data Variables: No
Time to Complete	Function: Specifies the maximum amount of time that should be allowed for the completion of the task associated with this activity before it is considered overdue. This is a combination of a number of minutes, hours, days, or weeks. Accepted Values: A number of minutes, hours, days, or weeks. Default Value: 1 Day Accepts Process Data Variables: No
My Organization's Business Time	Function: Specifies to use your work calendar for date calculations. Accepted Values: Deselected - Uses your work calendar for calculations. Selected - Does not use your work calendar for calculations. Default Value: Deselected Example: The Business Time field is set as selected, and business hours of work calendar are configured as 9 AM to 5 PM. If the task with completion time 8 hours is entered at 1 PM on Monday, then the task must be completed by 12 PM on Tuesday.

Parallel Tasks

Connects a list of parallel tasks with their participants.

Fields

Field Name	Definition
Participant Type list	Function: Specifies a category of participants to add to the task. Accepted Values: Users - Shows your AgilePoint users. To add a new user, refer to Add a New User. Default Value: Users
Search	Function: Performs search operation based on the specified criteria.
Parallel Tasks	Function: Specifies the user to whom the task is assigned. Accepted Values: A user name from the Participant Type list. A process data variable. You can specify only one user name in the Parallel Tasks field. You cannot specify more than one participant, such as a group of users, or a user role for the task at a time. However, you can add more than one instance of the task, each with a different participant assigned. Default Value: None Accepts Process Data Variables: No
eForms	Function: Specifies the name of the eForm task that shows in a participant's task list. Accepted Values: A valid eForm task. Default Value: None Accepts Process Data Variables: No
Create eForm	Opens this Screen: Form Details screen. Function of this Screen: Configures a new human task form. For more information, refer to Create a Human Task with eForms.
Add Row	Function: Adds a row for Parallel Tasks and eForms where you can specify parallel tasks, and assign participants to complete them.
Delete Row	Function: Deletes the row.
